Privacy Policy

Hearnote is a recorder for iPhone that transcribes and writes notes on the device. This policy says how the app uses your microphone and voice, and which data leaves your device.

Summary

Your recordings, transcripts, summaries and the questions you ask Hearnote do not leave your device. Hearnote has no server that receives them and no account system.

The current version has no usage analytics, no crash reporting and no ads. Purchases are handled entirely by Apple. The only thing Hearnote itself can send is feedback — and only if you write it and tap Send yourself. Details below.

Microphone and recording

Hearnote asks for microphone access to record. The microphone is active only while you are recording; when Hearnote records in the background, iOS always shows the microphone indicator and a Live Activity.

Audio is stored in the app’s private storage on the device. It is not sent to Apple, to me, or to anyone else.

Speech recognition (transcription)

Hearnote asks for Speech Recognition permission to transcribe. Transcription uses Apple’s on-device recognizer (SpeechAnalyzer). The first time you use a language, iOS downloads its language model from Apple; your audio is not sent during that download or at any other time.

Speaker labelling also runs on the device, with models bundled in the app — nothing is downloaded or uploaded for it.

Summaries, Ask Hearnote and translation

Summaries, Ask Hearnote’s answers, study cards and translations are produced by Apple’s on-device models (Apple Intelligence’s Foundation Models, and Apple’s translation framework). They run on your iPhone; Hearnote sends your transcripts and questions to no server.

Reminders, Calendar and Face ID

If you send an action item to Reminders or Calendar, Hearnote asks for permission and creates only the item you chose. It does not read your other reminders or events.

Face ID lock uses iOS authentication; Hearnote never receives your face data.

Buying Hearnote Pro

Payment is handled by Apple through the App Store. Hearnote never sees your card details.

Hearnote Pro is sold through Apple’s in-app purchase system (StoreKit). Hearnote checks whether Pro is unlocked by asking StoreKit on your iPhone for your verified purchases — no third-party billing or subscription service is involved, and no purchase data is sent to us.

Apple processes the payment and its own privacy policy applies to it. You manage or cancel a subscription in your Apple ID settings.

Feedback you send us

Hearnote has an optional “Feedback & bug report” form. Nothing is sent unless you open it and tap Send.

When you tap Send, we receive:

  • The kind of feedback and the message you type.
  • Your email address, only if you enter one — used only to reply to you.
  • Your app version, iOS version, device type and app language.
  • A random install identifier generated by the app, not linked to your Apple ID or any account, used only to limit spam.

Feedback never includes your recordings, transcripts or summaries. It is stored on our own backend, hosted by Supabase in Singapore, and a notification with your message is forwarded to the developer’s private Telegram chat. Your IP address is kept only as a one-way hash, for at most one hour, to rate-limit submissions.

If you choose “Send by email” instead, the email goes through your own Mail app.

We keep feedback until the issue is handled, then delete it. To have anything you sent deleted, email us with roughly when you sent it and what it said (or the email address you used).

What is never collected

  • Your recordings, transcripts, summaries, questions or recording titles
  • Name, phone number, contacts — or your email, unless you enter it in feedback
  • Location
  • The advertising identifier (IDFA)

Hearnote contains no advertising SDK and does not track you across other apps or websites.

If this changes

A later version may add anonymous usage statistics and crash reports (for example Google Analytics for Firebase and Firebase Crashlytics) to learn which features help and to fix bugs. If it does, they will never include your audio, transcripts, summaries, recording titles or anything you type, and this policy and the App Store privacy label will be updated before that version ships.

Data stored on your device

Recordings, transcripts, notes, folders, settings and the free transcription minutes used are stored in the app’s private storage. Your iPhone backups (iCloud or computer) may include them, depending on your backup settings.

Deleting a recording in the app, or deleting the app, removes that data. You can remove a recording’s audio and keep its text.

When you share

When you export or share, iOS opens the share sheet and the file goes where you choose. From there, the recipient is responsible for it.

Children

Hearnote does not knowingly collect data from children and has no content created by other people.

Your rights

Because there is no account, there is no personal profile on our side for you to access or delete. If you sent feedback, you can have it deleted — email me.

Changes

When this policy changes, the date at the top changes with it. Material changes will be noted in the App Store release notes.
